It is impolite to leave the letter unanswered even if at the moment you are not ready to give a definite reply. You should send an immediate answer, thanking for the letter received and stating that as soon as the matter is cleared, a detailed reply will be sent. Sometimes a supplier is interested in selling the goods to the customers he has been dealing with on a regular basis. In this case without waiting for an enquiry from his customer he sends him an offer describing the goods offered, the price, terms of payment, delivery time. In this offer there must be something that will certainly appeal to the customer, such as: discounts, unexpectedly low prices, and favorable terms of payment.

Text 3 Letters-orders

An order letter, also known as a purchase order or PO, begins the paper trail of a specific purchase. The objective is to provide the vendor with detailed instructions for fulfilling an order. It also serves as a legal record of the transaction and, consequently, should be written with care.

Your intentions need to be clear and concise. Attention to detail is crucial. The reader will fill your order only according to your instructions; your satisfaction will depend largely upon their accuracy. The scope should include only the information needed to fulfill the order. The

vendor does not need to know why you are placing the order, what it is going to be used for or for whom it is intended. The vendor only needs to know what the item is, the terms of the purchase and any specific shipping instructions. Here’s an example of the letter-order:

Text 4 Confirmation letters

The main task of confirmation letter is to confirm some event or next step of the deal.

However, any letter that is written to affirm the details or conditions that have been previously agreed upon is also considered to be a confirmation letter. For instance, the letter of confirmation is written to customers to reassert the deal that was signed before or maybe to confirm a person's invitation for an event. In other words, the letter of confirmation helps to clarify or maybe alter certain details that have been mentioned in the agreement.

As confirmation letter comes under the business letter format, there are some etiquette rules that have to be followed while writing a letter of confirmation.

The confirmation letter should be professional and should give clear details that have been mentioned in the agreement.

If there have been any amendments or changes in the main agreement, it should be mentioned in the confirmation letter very clearly. Along with this, one also has to write about

the things or work that has been pending and should also mention the names of people who are responsible for handling those things.

Letters of complaints

A complaint letter is a formal letter and hence, it should follow the format used for writing a formal business letter. Though you may be really angry, you should not vent your frustration by writing a five to seven page complaint letter because people do not have the time to read letters that run into several pages. To ensure that your letter is noticed and action is taken to solve your problem, make sure that you write a complaint letter that is concise and to the point.

Another thing that you should remember is that even though your letter should not be a very long one, it should include all the details about the complaint you are making. For instance, you want to complaint about the electronic mixer that you bought which showed certain problems from the first day you used it. In such a case, it is important that you list all the details about the purchase including the date on which you bought it, product number, the name of the store where you bought it, etc. It is also crucial to attach copies of documents regarding your complaint like the receipt, warranty card, etc. However, make sure that you attach the photocopies and not the original documents with the complaint letter.

An important factor that you have to keep in mind is that your tone of writing should be polite and courteous. Though you may be very angry about the situation, you should not be sarcastic or try to threaten the other person. You must remember that the person who will be reading your letter is usually not the person who is directly responsible for the problem you are facing. You can also give a suggestion as to how you want your problem to be solved at the end of the letter. Also, mention the time period that you are ready to wait, however see to it that it is reasonable. If you do not find any reply or phone call from the company after that period of time or after a month of sending the letter, you should send another letter of complaint to the company.

FORD MOTOR COMPANY

Ford Motor Company is one of the greatest automobile manufactures of all time. They started under Henry Ford in Detroit, Michigan. Ford had a skill for craftsmanship when he built an experimental car in 1896. It was a twin cylinder engine with potential of 20mph. In 1899 he left his job in order to organize the Detroit Automobile Company.

In 1901 the company was reorganized as the Henry Ford Company. Ford had a falling out with his financial backers, and in March 1902 left the company with the rights to his name and

900 dollars. The Henry Ford Company changed their name to Cadilac, and went on to be a successful manufacturer of automobiles.

Henry Ford himself turned to an acquaintance, coal dealer Alexander Y. Macomson, to help finance another automobile company. Malcomson put up the money to start the partnership “Ford and Malcomson” and they designed a car and began ordering parts. However, by February they had to attract others to invest. Among them was Malcomson’s uncle John Gray, the president of the German-American Saving Bank.

On June 18, 1903 the Ford Motor Company was incorporated, with 12 investors owning a total of 1000 shares. Ford and Malcomsan retained 51 % of the new company. At the first stockholders meeting on June 18, Gray was elected president, Ford vice-president, and

Games Couzens secretary. Ford Motor Company was immediately profitable, with profits by October 1, 1903 of almost $37.000.
