This is normally printed on the paper. It must give all the necessary information: the name and address of the firm, the telephone number, telex and telefax. If the printed heading is absent, the company's address without the name of the sender, is typed on the right side.

This is the address of the person receiving a letter. It is typed on the left against the margin.

The courtesy titles

When we write to a man, we write: Mr. P. Watkins. When we write to a woman we write: Miss J. Harris if the woman is unmarried and Mrs. S. Jenkins if the woman is married. Ms. A. Lewis is either suited for married or unmarried woman. When we write to a man and his wife we write Mr. and Mrs. J. Coweley. If we don't know the name of the person we are writing to, we can write: The Personnel Manager,

When our correspondent holds a special title as Doctor, Professor, Sir, he is addressed by his title and Mr. must not be used. The address is written as follows:

This consists of the initials of the person who signs the letter (and often dictates it) and those of the typist. Sometimes other initials are added according to whatever may be useful for the filing system of the firm.

4. The date

The generally accepted way of writing the date is the following:

This is the greeting with which every letter begins and it must agree with the address.

Place the salutation at the left margin of your letter. Use a comma after it. If you know the name of the person you are writing to, use it in the salutation: Dear Mrs. Smith, Dear Mr. Jones, Dear Miss Wright. If you don't know the name, begin Dear Sir, Dear Madam, Dear Sirs (to more than one person and to all limited companies,); Gentlemen (in American English, with a colon instead of a comma).

    1. The subject line

This line is typed immediately below the salutation in the centre. It helps to ensure that the letter is passed without delay to the right person or department:

    1. The body

As business letters are written on behalf of a firm, use “we” and “our” instead of “my” and “I”. Do not use the short forms “we'll”, “we've” in all formal and business letters. Extra spacing is used between paragraphs to separate different points more effectively. The right margin should be as wide as the 1'eft one. Try to use short sentences and short paragraphs because it is easier to read and understand such a letter.

    1. The complimentary close

The complimentary close depends on how well you know the reader: formal, semi - formal, polite but distant.

Leave two spaces below the last line of the body. Write the first word with a capital letter. It must match the salutation.

    1. The signature

Always sign the letter by hand and in ink. Always use the same style. You cannot sign TOM WILSON on one occasion and T. Wilson on another. Do not use a title with a signature. Exception: a woman writing to a stranger should indicate if she is married or not by adding "Mrs" or "Miss" in brackets in front of her signature (Miss).

Task 8. Translate the given job specification from English into Russian:

Depending upon the wording of some advertisement, candidates will send to company information about themselves either in the form of a CV (curriculum vitae) or an application form.

Application forms are put together in order to ensure that the information received about a candidate is relevant to the organization’s requirements – this is of particular help to the interviewers, who have all relevant information at their fingertips, can spend less time extracting essential information from the candidate at the interview, and can spend more time assessing the candidate’s personal qualities and attitudes.

On the other hand, CVs (at least those produced by the candidate themselves rather than an agency) enable the candidate to put information about themselves together in more personal way, giving some clues about the personality of the individual.

The amount of detail on an application form will depend on whether the selection is being made exclusively from members of the organization’s staff, or whether applicants are also being sought from outside. For outside applicants, the application form would probably include the following:

the name, address and telephone number of the applicant, date of birth, nationality, education details and qualifications, details of work experience, names and addresses of previous employers, with dates of employment, any special skill relevant to the job (e.g. possession of a clean driving license).

Family details may also be asked for (e.g. whether married, number of children etc.)

Because the CV is prepared by the individuals themselves, there is the opportunity for the candidate to give emphasis to those areas of their career or background which the candidate feels are important. It also, of course, enables them to gloss over any areas they feel might let them down, and the perceptive interviewer will have to learn how to recognize such evasions. No matter what has been included, the CV should not be more than two pages in length.

From the CVs or application forms received, a shortlist should be drawn up of applicants who appear, on the basis of information available, to have the skills and background for the job. In the event of a very large number of applicants, this shortlist may have to be pruned even further, for instance by comparing the relative strengths and weaknesses of the applicants.

The letter of application is also called the covering letter and it is as important as CV. They both provide the first direct contact between a candidate and an employer. If it is not written properly, it can produce a bad impression. Usually it contains 3 or more paragraphs in which you should:

- confirm that you wish to apply and say where you learned about the job;

- say why you are interested in the position and relate your interests to those of the company;

- show that you can contribute to the job by highlighting your most rel­evant skills and experience;

- indicate your willingness to attend an interview (and possibly state when you would be free to attend).

The opening line will be:

'Dear Sir' (addressed to a man)

'Dear Madam' (addressed to a woman)

'Dear Sir or Madam' (if you don't know who you are addressing to) or just

'Dear Mr Brown'/ 'Dear Ms Smith'

a) Time flies, and one day you will have to seek for the job. Remember the job-winning tips given by some professionals:

How to write a job application

1. Writing in black ink on white unlined paper looks professional.

Put your address, telephone number and date in the top right-hand corner and the name of the person you are applying to on the left, level with the date. Write the company name and address below.

You can possibly type your letter but employers do prefer to see your handwriting. Leave a line between paragraphs.

  1. First paragraph - a polite one-sentence opening explanation why you are writing.

  2. Tell them you know they are busy people but stress that your CV proves you are worth time too.

  3. Describe yourself like a product on sale. List your skills and personal qualities like high motivation, enthusiasm and adaptability.

How to behave during an interview

It's evident that getting a job depends on many factors, among them writing correctly a job paper application, CV or resume and your behaviour during an interview. The latter is often the best and often the most important stage in getting a job.

Interviews may be conducted by one or by several people. The interview is the opportunity for the applicant to project his/her personality and convince the interviewers of his/her suitability for the job.

1. Pay attention to the way you are dressed. When you are properly dressed you demonstrate respect and consideration for those with whom you interact. Your hairstyle, nails and choice of cosmetic will contribute to your appearance. Your clothing should meet the requirements of business style. It's very important that in your suit you should feel comfortable.

2. Be ready to speak about yourself. Your words should contain something to make people take notice of you. Describe briefly your experience at the previous job, good results you achieved there.

3. A standard question you may be asked - "Why are you looking for a job?" You should be ready to speak about the reasons which sound convincing.

  1. You should organize your thoughts logically, have self-confidence, never distort facts and try to persuade people to your way of thinking.

  1. You must be ready to answer some unexpected questions: "What are your strong points?" and "What are your weak points?" Your speech should be illustrated with clear examples. When speaking about your failures or mistakes be sure to emphasize the conclusion you have drawn after analyzing your failures and what they taught you. Just remember that the experience of overcoming failures and analyzing the mistakes is valuable for the company.

  2. You may be asked what you can do for the company or how you see your future duties. You should learn as much as possible about the company you are dealing with. If possible quote concrete figures or examples so that the interviewer can appreciate the extent of your contribution.

  3. What salary are you expecting? Think of concrete figures - you should base your answer on the average salary of other employees with your qualification.

  4. Be ready for practical tests - if you apply for a job as a salesmanager you may be asked to sell something or to express your opinion on settlement of some conflicts in a hypothetical situation.

  5. At the end of the interview you may ask some questions. You have to understand better what your future job will entail, what possible difficulties there are in store for you, what the other staff members are like.

10. Some more advice:

  1. Never be late. Even if you came too early, it is better to walk around outside rather than bother the interviewer with the problem of what you should do for the next 20-15 minutes.

  2. Remember your speech should be more than the words you use. How you say sometimes is not as important as what you say.

  3. Be yourself - just speak the way you speak with your friends.

Try to overcome your nervousness. You can learn to control your nervousness rather than let it get you down. Try to accept nervousness as a natural way of helping you to be alert and do your best. Remember it is normal and natural for you to be a little nervous. During your speech smile and try to change your facial expression to convey the emotions that you feel. A smile coupled with good posture can work wonders.

4) Much attention should be paid to eye contact. You should not look at the floor or at the ceiling. Look in the eyes of the people you are talking to.

Your speech is certain to be enthusiastic and lively.

Before interviewing the applicants look through their CVs and application letters, decide what questions to put, be ready to explain about the job advertised and to say what the person will have to do. The contract is for one year. You are looking for someone aged 20-30. You think that a man is more suitable for the job and that the person should be friendly and have a nice personality.

Experience is not of vital importance - you have your own training program. Analyze the results of the interviews, choose the most suitable applicant and announce your decision to the applicants.

Before interviewing the applicants, look through their CVs and application letters, decide what questions to put, be ready to explain about the job advertised and to say what the person will have to do. You are supposed to take notes (name, appearance, general impression, speech, answers to questions - you could give each applicant points out of ten for each of the above). Offer applicants to put questions to you. You think that the person should have some experience, must be energetic, ambitious and enthusiastic. You are interested in the results of his studies. Analyze the results of the interviews, discuss them with your colleagues, choose the most suitable applicant and announce your decision to the applicants.

a) How to write E-mail messages in English

In fact, there are no rules for writing e-mail messages in English. But it will probably help if you write clearly and concisely. However, the English writer, George Orwell, gave these rules for writing effectively.

THE RULES OF EFFECTIVE WRITING (by George Orwell)

  • Never use a metaphor, simile or other figure of speech which you are used to seeing in print.

  • Never use a long word when a short one will do.

  • If it is possible to cut a word out, always cut it out.

  • Never use the passive where you can use the active.

  • Never use a foreign phrase, a scientific word or a jargon word if you can think of an everyday English equivalent.

  • Break any of these rules sooner than saying anything outright barbarous.

Task 6. Microserfs is a novel about a group of young computer programmers who work for the giant soft­ware company, Microsoft. Here, one of the characters talks about his experience of e-mail. How does this compare with your experience of e-mail?

  • I'm an e-mail addict. Everybody at Microsoft is an addict. The future of e-mail usage is being pioneered right here. The cool thing with e-mail is when you send it, there's no possibility of connecting with the person on the other end. It's better than phone answering machines because, with them, the person on the other line might actually pick up the phone and you might have to talk.

  • Typically, everybody has about a 40% immediate cull rate — those pieces of mail you can delete immediately because of a frivolous tag line. What you read of the remaining 60% depends on how much of a life, the more mail you read.
