1. The responsibilities of a receptionist

Many women would like to become a secretary. Well-established companies, including foreign firms, are primarily interested in high quality of professionalism from their employees. People searching for a secretarial position will find it helpful to acquaint themselves with a short description of the professional qualities that are required, as well as to glance at an approximate list of responsibilities. And above all, a candidate must take into consideration the fact that there exist 3 types of secretaries: receptionists, office secretaries and executive secretaries often called personal assistants.

Receptionist has technical functions: placing and receiving telephone calls, taking messages and passing them on, sorting out correspondence and greeting visitors. Organizations have different methods of receiving visitors. In large companies, all visitors go to a reception room or desk where trained receptionist takes care of the preliminaries and advises the secretary that a visitor has arrived. A candidate must pay attention to the knowledge of foreign languages. Even companies in our country will give preference to someone who can fluently speak one foreign language, especially English.

This type of work suggests more responsibility and competence than the work of a receptionist. An office secretary should have higher education fluent knowledge of several foreign languages, some experience in bookkeeping and banking procedures.

The secretary should meet clients, arrange meetings, business trips.

As a rule secretaries participate in negotiations and they handle protocol arrangements, write up reports and other documents, proofread various materials.

Office secretaries are also responsible for handling routine correspondence – answering letters, e-mail and fax messages, they should sort them out and file into files. So a candidate must have experience in operating a PC and modern software packages. Besides, an office secretary is responsible for the office equipment and, if necessary, she (or he) should train junior staff members to operate it.

Such a position allows for more independence, than a position of a receptionist, but it also demands more responsibility.

An Executive Secretary composes internally and externally documents, so she should have excellent grammar and spelling skills.
